2. The information we collect

We only collect the information we need to respond to your enquiries, prepare quotations and project specifications, deliver agreed services, and operate our business lawfully.

When you submit our enquiry form, email us, call us, or engage us to deliver a project, we may collect: your full name, email address, phone number, property address or general location, details of the space you'd like to improve, your service requirements, and any other information you choose to include in your enquiry or in subsequent correspondence. Information generated during your project. If you engage UrbanNest Builds to deliver a project, we may also process: measurements, photographs of the relevant areas of your property (used only for design, build and reference purposes), written project specifications, scheduling information, materials lists, invoices, payment confirmations and project completion notes. Information collected automatically. When you visit urbannestbuilds.co.uk, our hosting provider's server logs may collect limited technical information such as your IP address, browser type and version, operating system, the pages you visit on our site, and the date and time of your visit. 5. Contact forms and customer enquiries

When you submit the contact form on this website, the information you provide is sent directly to our email address (urbannestbuilds@gmail.com) so we can respond. The website does not store enquiry submissions in a separate database.

We use the information you submit solely to respond to your enquiry, prepare a quotation if appropriate, and deliver the requested service. If you do not proceed with a project, your enquiry email is retained only for as long as necessary for accounting and dispute-resolution purposes (see section 8).

7. Payment processing

Payments for fixed-price packages and project deposits are processed by Stripe Payments UK Limited and its affiliates. When you complete a payment, you submit your card details directly to Stripe via Stripe's secure checkout interface. UrbanNest Builds never sees, processes or stores your full card number, CVC, or expiry date.

Stripe acts as an independent data controller for the card data it processes and is responsible for compliance with the Payment Card Industry Data Security Standard (PCI DSS). We receive only confirmation of payment, the amount, the customer name and email used at checkout, and a transaction identifier. This information is used for invoicing and accounting purposes.

8. Data retention

We keep personal information only for as long as is necessary for the purposes for which it was collected, including any legal, accounting or reporting requirements.

  • Enquiries that do not result in a project are typically retained for up to 12 months.
  • Project records, written specifications, invoices and payment confirmations are retained for at least 6 years from the end of the relevant tax year, in line with HMRC requirements.
  • Photographs taken for project reference are retained for the duration of the project and may be kept for up to 24 months afterwards for portfolio and quality-control purposes. Identifiable personal items or features are not used in any published portfolio without your prior consent.
  • Server logs are retained for a short period (typically up to 90 days) for security purposes.

9. Sharing your information

We do not sell, rent or trade personal information. We share personal information only when necessary to deliver our services, comply with the law, or protect our legitimate interests. Recipients may include:

  • Stripe Payments UK Limited, for processing payments.
  • Our website hosting provider, for the storage and delivery of website pages.
  • Our email provider, for the transmission and storage of enquiry messages and project correspondence.
  • Our accountant or bookkeeper, where required to meet tax and accounting obligations.
  • Trusted subcontractors engaged to support project delivery, who are required to handle your information confidentially.
  • Regulatory bodies, law enforcement, or other authorities where we are legally required to do so.

10. International transfers

Some of our service providers (including Stripe and email providers) may process personal data outside the United Kingdom. Where this happens, we rely on lawful transfer mechanisms such as the UK Addendum to the EU Standard Contractual Clauses, or rely on providers self-certified to UK-approved data protection frameworks, to ensure your information receives an equivalent standard of protection.

11. Security measures

We take reasonable and proportionate technical and organisational measures to protect your information against unauthorised access, accidental loss, alteration or destruction. These include encrypted (HTTPS) connections to our website, restricted access to enquiry and project records, the use of strong account passwords and multi-factor authentication where available, and regular review of who has access to customer information.

No method of transmission over the internet is entirely secure. While we work hard to protect your personal information, we cannot guarantee absolute security. If you become aware of any unauthorised use of your information in connection with UrbanNest Builds, please contact us immediately.
